Summary

The objectives of the position are to provide all-round support to the Senior HR Director and to manage the day to day administrational activities for the HR team in order to make sure the daily business operation runs smoothly.

What you'll do

The holder of the position is mainly responsible for the following areas in coordination with his / her superior:
•    Support Senior HR director on daily business, incl travel arrangements, expense claims, meeting coordination, presentations etc
•    Provide quality business operation support on below areas to the HR team:

  • Coordinate roundtables and meetings with different stakeholders and groups
  • Support on miscellaneous administrational tasks, eg organisation of long service appreciation
  • Process and follow up on invoices
  • Communication, eg for Newsletter and Announcements

•    Monitor and make sure the above activities are performed according to company guidelines
•    Monitor from time to time the effectiveness of current procedure of the department, streamline to improve efficiency and productivity to meet actual business needs
•    Facilitate communication with other departments 
•    Maintain sensitive and confidential written and oral information  
•    Undertake special or ad hoc assignments and projects, this could be in the area of Talent Development, Talent Acquisition or Operations
 

What you'll need

•    University degree holder 
•    Minimum 4 years solid and relevant experience, ideally in Executive Assistant and/or HR roles 
•    Mature, strong organisation skills and analytical mindset
•    Excellent communication skills and able to interact with all levels of management
•    Strong MS Office and computer skills
•    Good command of spoken and written English. German is optional and desirable
•    Work independently and deal well with ambiguity
