Summary

The main objective of this position is to provide clerical support and handle important tasks to assist executive-level employees and ensure all specified deadlines are met.

What will you do?

•    Acting as the point of contact between the executives and internal or external colleagues
•    Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives
•    Organising meetings and booking meeting rooms
•    Reading and analyzing incoming memos, submissions, and distributing them as needed, ensuring all deadlines for correspondence are met.  
•    Making travel arrangements and detailed travel itineraries
•    Taking dictation and minutes and writing them up subsequently
•    Producing reports and presentations using various software, including word processing, spreadsheets, databases, and presentation software. 
•    Maintaining the current filing and database system, and looking for ways to improve current systems
•    Answering phones and routing calls to the correct person or taking messages

What will you need?

•    Proven experience as an executive assistant or other relevant administrative support experience.
•    In-depth understanding of entire MS Office suite.
•    High school diploma.
•    Ability to organize a daily workload by priorities.
•    Must be able to meet deadlines in a fast-paced quickly changing environment.
•    A proactive approach to problem-solving with strong decision-making skills.
•    Professional level verbal and written communications skillsOther required Knowledge, Skills, and Abilities:
•    Excellent interpersonal skills at all levels, including people-management.
•    Ability to multitask and prioritise tasks
•    Excellent time management skills
•    Well-developed organisational skills
•    Attention to detail
•    English Language both written and verbal a must. 
•    Cantonese verbal a must, German and Mandarin beneficial
•    Professional discretion
