What will you do?

The Executive Assistant is responsible for providing all round support to the C-suite executive and to manage the day to day secretarial activities to ensure our daily business operation runs smoothly and is well supported.

The Executive assistant is mainly responsible for the following areas in coordination with his / her superior:

  • Provide daily business support to the C-level executive.
  • Provide project management support to the C-level executive.
  • Provide quality business operation support on the following areas listed below:
  1. Translate and coordinate product information and relevant communication.
  2. Process and maintain data within different operation systems.
  3. Work with Travel team in arranging business travel for senior executives.
  4. Monitor and ensure the above activities are performed according to company guidelines.
  5. Monitor from time to time, the effectiveness of current procedures of the department, provide suggestions to streamline these procedures to improve efficiency and productivity and meet actual business needs.
  • Manage C-level executive’s calendars and set up meetings.
  • Facilitate communication with other stakeholders.
  • Maintain sensitive and confidential written and oral information.
  • Organise corporate events.
  • Undertake special or ad hoc assignments to meet business needs.

What will you need?

  • BA/BS preferred.
  • At least 8 years of relevant experience in a buying office or sizable MNC within the trading industry.
  • Strong command of spoken and written English at a business level, this is an important quality to liaise successfully with stakeholders in Europe.
  • Knowledge of German would be an advantage to better execute ad-hoc work-related tasks, but not a prerequisite.
  • Trustworthy, quick thinking, strong organisation skills and an analytical mindset.
  • Ability to work independently and deal well with ambiguity.
  • Excellent communication skills and the ability to interact with all levels of management.
  • Sound knowledge of data management and business operation systems such as SAP.
