Summary

Lidl and Kaufland Asia is hiring a Executive Assistant to join our Quality Assurance Management team. The successful candidate will be responsible to provide clerical support, handling important tasks to assist executive level management and ensure all specified deadlines are met.

What you'll do

•    Acting as the point of contact between the executives and internal or external colleagues

•    Researching and preparing data to arrange documents for review and presentation by boards of directors, committees, and executives

•    Organising meetings and booking meeting rooms

•    Reading and analyzing incoming memos, submissions, and distributing them as needed, ensuring all deadlines for correspondence are met

•    Making travel arrangements and detailed travel itineraries

•    Taking dictation and minutes and subsuquently writing them up 

•    Producing reports and presentations using various softwares, including word processing, spreadsheets, databases, and presentation software

•    Maintaining the current filing and database system, and proactively looking for ways to improve current systems

•    Answering the phone and routing calls to the correct person or taking messages

•    In addition to the listed tasks, the holder of the position is obliged to implement seperate projects upon request by the superior which result from operational requirements
 

What you'll need

•    A high school diploma and proven experience as an executive assistant or other relevant administrative support experience

•    In-depth understanding of entire MS Office suite

•    Well-developed organisational skills with the ability to organize a daily workload by priorities 

•    Strong attention to detail and excellent time mangement skills 

•    Must be able to meet deadlines in a fast-paced quickly changing environment

•    Excellent interpersonal skills with the ability to effectively communicate across all levels in the organisation

•    Be reliable and exercise professional discretion

•    A proactive approach to problem-solving with strong decision-making skills

•    Professional level verbal and written communications skills in English, whilst German and Chinese are beneficial
